Freshly delivered, your Dolibarr knows nothing about you. As long as your company identity is not filled in, it shows its setup screen on every administrator login.

This is the first thing to do, and it is done once and for all. Allow ten minutes, with your legal information at hand.

In the Setup menu, entry Company/Organisation.

Top of the Company/Organisation screen

  1. Company name: the name printed at the top of your quotations and invoices.
  2. Country: it drives a lot of things, the VAT rules, the address format, the mandatory mentions on your documents, and even which fields appear further down this page.
  3. Postal code and town, with the address just above.
  4. E-mail: it is also the reply address when you send a document from Dolibarr.

The currency is already set to the euro, change it if you invoice in another one.

  • The name and the full address. They appear on every commercial document, so get them right from the start.
  • The phone, the e-mail and the website.
  • The capital and the legal form, if your status requires them on your invoices.
  • The legal identifiers of your company: in France the SIREN and SIRET numbers, elsewhere their national equivalent, plus your intra-community VAT number if you have one.

It is set further down the same page, and it is the most important setting of this screen.

Capital and VAT number

  1. Capital, if your status requires it on your documents.
  2. Intra-community VAT number, if you have one.

At the very bottom of the page comes the decisive choice, in the VAT management block:

Choosing the VAT status

Two possible answers, and only one is right for you: liable for VAT, or not. This choice sets the default VAT rate offered on all your documents.

Still in this screen, two slots let you upload a logo: the main one, printed at the top of documents, and a square version used in the interface.

Prepare a sharp image, preferably a PNG with a transparent background, at least 300 pixels wide. A logo that is too small comes out blurry on PDF files.

Save, then log in again. Two signs show it has been taken into account:

  • the setup warning disappears from the menu;
  • logging in now lands you on My Dashboard instead of the setup screen.

The next chapter moves on to Modules / Applications, that is, choosing which functions you want to see in your menus.
